Who is responsible

What we collect

When you start a booking — the moment you press Pay, whether or not the payment is then completed — we record: your name, email and WhatsApp number; the apartment, dates, number of guests and extras you chose, and their price; any note you added; the language you used; and the moment you accepted this notice, with its version.

Until then, the contact details you type stay in your own browser, and are cleared when you close the tab.

Your card details are entered on TiloPay's secure payment page and never reach us. We receive TiloPay's record of the payment: its result, the amount, the authorisation code and, when TiloPay includes them, the card's brand and last four digits.

To protect the booking system from abuse, we also record the internet (IP) address a booking is started from. It is used for nothing else, and entries more than a day old are deleted as new ones arrive.

Why

To reserve and manage your stay, to take your payment, to issue the electronic invoice Costa Rican tax law requires, and to contact you about your stay. Nothing else: we do not sell your data or use it for advertising.

Who else handles it, and where

TiloPay processes the payment, in Costa Rica; to open its payment page we send it your name, email and phone number with the amount. Neon stores the booking database on Amazon Web Services servers in the United States. Vercel hosts this website, in the United States. Resend sends the booking emails, from the United States: your confirmation, and the notice to us of a paid booking, which carries your name, email, phone number and the dates of your stay.

Antz Systems Engineering, the company that builds and operates this website for us, has access to the booking records in order to run and support the system. It keeps backup copies of the database, and it operates the automatic notice that tells us a booking has been paid, which carries your name, your phone number and the dates of your stay.

Your data is therefore stored and handled outside Costa Rica. Each of them handles it only to provide that service.

How long

We do not delete booking records automatically. A paid booking is kept for at least as long as tax and accounting law requires. A booking that was started but never paid is kept too, until you ask us to delete it.

Your rights

You may ask to see the data we hold about you, to correct it, or to have it deleted where the law allows, and you may withdraw your consent. Write to apartamentosjaco@gmail.com. If you are not satisfied with our answer, you may complain to Costa Rica's data protection agency, PRODHAB (Agencia de Protección de Datos de los Habitantes).
